About the role

 

Some key accountabilities;

  • Provide support for research governance and procurement activities
  • Producing correspondence, presentations and reports both of a general and confidential nature.
  • Provide administrative support to the Research Division
  • Management of purchase orders and invoice management for the Division.
  • Documentation and records management.
  • Assist with correspondence, including appropriate sign off.
  • Coordinate meetings, functions, agendas, room bookings and catering requests.
  • Booking travel and conferences.
  • Build and sustain positive relationships with both internal and external individuals/groups.
  • Accountable for creating and capturing accurate and complete records of the business activities related to this position, in accordance with approved policy and procedures. This is applicable to both hardcopy and electronic information, including email.

 

About you

 

You are an experienced administrative assistant who can prepare presentations, agendas, minutes; as well as organise functions or team events. Your organizational skills will be highly developed and you will communicate effectively with key internal and external stakeholders. You have a proven ability to work through uncertainty, changing priorities and to undertake complex tasks.

 

More specifically you will have;

  • Intermediate/ advanced knowledge of Office Suite (eg PowerPoint, Word, Excel),
  • Highly developed interpersonal, communication skills.
  • Ability to work autonomously, priorities and exercise discretion.
  • Demonstrated ability to liaise with a diverse client/stakeholder group including senior management levels
  • Demonstrated ability to exhibit tact in the handling of complaints and enquiries and take action in response
  • Ability to maintain a high level of performance in respect of organizational skills and the capacity to work methodically within a demanding environments
